Team & Workspaces

Everyone in your organization shares the same datasources and dashboards, scoped by role.

Roles

RoleCan do
OwnerEverything — including billing, and the only role that can change other members’ roles. There is exactly one owner per organization, and they cannot be deactivated.
AdminInvite/deactivate members (except other admins/owners), manage datasources and dashboards, edit queries.
MemberView dashboards, use filters, browse datasources. Cannot edit queries or manage the team.

Inviting teammates

From Settings → Members → Invite, enter a name, work email, and role (admin or member — you can’t invite another owner). InsightBase creates their account with a locked password and emails them a one-time link; they set their own password when they accept.

  • Invite links expire after 7 days and can only be used once.
  • The same free/personal email restriction that applies to registration applies to invites.
  • Deactivating a member revokes their access immediately without deleting their account or history — reactivate any time to restore access.
Note:Only owners and admins can invite or deactivate members. Admins can’t deactivate other admins or the owner — only the owner can change someone’s role.

Workspaces

Workspaces are folders for organizing dashboards — by team, by project, by client, however makes sense for you. Workspaces can be nested, and a dashboard with no workspace assigned simply lives at the organization root.

  • Create, rename, and nest workspaces from the sidebar.
  • Move a dashboard between workspaces at any time — it doesn’t affect its data, queries, or version history.
  • Deleting a workspace cascades to its sub-folders and the dashboards inside them, so double-check before confirming.

Audit log

Account-level actions — logins, invites, role changes, deactivations, query edits, and more — are recorded to an audit log so owners and admins can see who changed what and when.
